Most forms are about as exciting as watching paint dry. Open it up, see a wall of questions, and suddenly tackling the ironing seems more appealing.
Now, imagine your clients feeling that way about your Dubsado questionnaire.
But you can fix that pretty easily. By adding a personalised welcome video to your questionnaire can transform the experience (or any kind of video for that matter). Instead of feeling like a chore, it becomes warm, professional, and even fun.
A quick welcome video can:
✔ Show off your brand / personality and build instant trust.
✔ Calm nerves by explaining what the form is for.
✔ Get clients excited to work with you.
In this blog, I’ll show you how to create a standout welcome video and embed it in your Dubsado questionnaire step-by-step – no tech wizardry required.
And if you’re only just getting started on your form, and it’s looking a bit “meh” – I suggest you go and check out my blog > How to Create a Custom Questionnaire in Dubsado (That Looks GOOD & Works Even Better!) to get your form looking polished AF before adding your welcome video. Trust me, you’ll thank me later.
Why You Should Add a Video to Your Dubsado Questionnaire
Most forms are boring. They’re just another task clients will procrastinate on.
But let’s imagine for a sec opening a questionnaire and being greeted by a short, friendly video.
You hear a warm “Hi, I’m so excited to work with you!” and a quick explanation of what the form is for/ what they need to do. Suddenly, it feels less like a chore and more like the start of something really exciting.
It’s also a chance to:
- Show off your brand personality and build instant trust.
- Calm nerves by explaining what the form is for and how it helps them.
- Boost client excitement to start working with you.
PLUS it’s gonna improve / quicken the completion rate – meaning you haven’t got to keep chasing them.
How to Create a Welcome Video That Stands Out
Alright, so you’re sold on the idea of adding a welcome video – but now you’re probably thinking, WTF do I even say? Don’t worry, I’ve got you…
Your welcome video doesn’t need to be Oscar-worthy. It just needs to be clear, friendly, and (most importantly) you.
Here’s how to nail it:
What to Include in Your Video
- Introduce yourself and let them know how excited you are to work with them.
Example: “Hey! I’m [Your Name], and I’m SO excited to start working with you on [project name]!”
- Explain the purpose of the form. Give them context so they know why it’s important and how it helps you help them.
Example: “This quick form helps me understand your goals, challenges, and what really matters to you – so I can deliver the best possible results”
- Reassure them. Let them know it’s simple and quick to fill out, and remind them you’re there if they have questions.
Example: “Don’t worry, it’s super straightforward and won’t take more than [X minutes]. If you get stuck, feel free to email me at [your email]!”
- Wrap it up with a call-to-action.
Example: “Once you’ve filled this out, I’ll be in touch to set up our kick-off call.”
Tips for Filming
- Keep it short: 1–2 minutes max. Any longer, and they might zone out.
- If possible wear something that matches your brand style and keep your background clean (no one wants to see your undies on the drying rack).
- Smile and relax. You’re not giving a TED Talk! Just imagine you’re chatting with a client over coffee.
- Add captions. Not everyone watches with sound, so captions are always a nice touch.
How to Embed Your Welcome Video in a Dubsado Questionnaire
Now that you’ve filmed your shiny new welcome video, it’s time to put it front and centre in your Dubsado questionnaire.
Here’s how to do it step-by-step:
Step 1: Upload Your Video
First, you’ll need to upload your video to a hosting platform.
Here are a few solid options:
- Loom: if you’ve recorded the video on Loom, you can edit and share straight from there.
- YouTube: set your video to “Unlisted” (so only people with the link can view it).
- Vimeo: great option as it doesn’t have ads.
Once uploaded, here’s how to grab the embed code:
- On Loom: click Share > Embed > copy the embed code. (Make sure it’s set to ‘anyone with link can view’)
- On YouTube: click Share > Embed and copy the iFrame code.
- On Vimeo: go to Share > Embed Options and copy the code.
Step 2: Add Welcome Video to your Dubsado Questionnaire
Now, it’s time to bring your video into Dubsado! Here’s how:
- Head to Templates → Forms → Questionnaires.
- Open the questionnaire you want to add your welcome video into.
- Add a new container by clicking the white space below your existing content.
- Set the container width to 100% and the content width to 80% so it doesn’t take up the whole screen.
- Add an HTML Block within your container.
- Paste the embed code into the HTML block.
To avoid a squished or awkwardly huge video, add margins or padding around the video to give it breathing room (start with 50px on the top and bottom).
And voilà! Your welcome video is now ready to wow your clients as soon as they open your Dubsado questionnaire.
