Dubsado Conditional Logic That Routes Leads Automatically

You open your inbox…

✨ New inquiry! ✨

You click…

And it’s a half-filled form with answers like “not sure” or “can we discuss?”.

Cool. Super helpful. Love that for you.

And this is exactly where conditional logic swoops in to save your sanity.

When used properly inside Dubsado, conditional logic helps you:

  • Route inquiries automatically
  • Trigger the right workflows
  • Personalise what happens after someone hits submit

All without you manually sorting, tagging, or playing detective.

In this post, we’ll cover:

  • What conditional logic actually means in Dubsado (and what it doesn’t)
  • Where to find it (because it’s not where people expect)
  • How it works behind the scenes
  • And 5 practical ways to use it to make your Lead Capture Form smarter, faster, and way more personal

What Is Conditional Logic in Dubsado?

Let’s strip this back for a sec, because “conditional logic” sounds way more technical than it actually is.

In Dubsado, conditional logic is the system that lets you decide what happens next based on how someone answers your Lead Capture Form.

Conditional logic lets Dubsado do the thinking for you. For example:

  • Start different workflows based on form answers
  • Send leads down different automated paths without manual sorting

So instead of every inquiry triggering the same generic response, Dubsado looks at the answers and says:

“I know what to do next.”

And then it acts accordingly.

For example:

  • If someone selects Wedding Photography → start the Wedding workflow
  • If they select Branding → start the Branding workflow
  • If they say they’re just browsing → send nurture emails and triggers a zap to add them into your email marketing platform

Where to Find Conditional Logic in Dubsado

The only place you can really use conditional logic in Dubsado is within the lead capture form.

Unfortunately Dubsado doesn’t have the functionality to be able to start a particular workflow based off of which package is selected on a proposal but it can allow the lead to go down different paths from the lead capture form.

This functionality can be used in different ways and the most popular is usually:

“Which service are you interested in?”

If you have a one off offer that you want to just send out a custom proposal right off the mark without a call then they can go down this route.

OR

If you need more context for a certain service before sending out a proposal you could send them a discovery call

The workflow element within the lead capture gives you this flexibility.

So where to find this;

  1. Head over to your lead capture form
  2. Add element “Workflow”

  1. By default it will come up as the question: “which service are you interested in?”

If you only want the lead to go down the same workflow for every service then you also have this option.

In this case, you don’t need to use the workflow element, you can use the default option which lives under form settings:

5 Ways to Use Dubsado Conditional Logic in Your Lead Capture Form

These are the five setups I default to when building Dubsado workflows for clients – because they work, every single time.

1. Identify Leads by Service Type

Ask:

“Which service are you interested in?”

This is the most common use of conditional logic in Dubsado.

Based on their answer, you start a service-specific workflow:

  • Wedding Photography → Inquiry | Wedding
  • Design Consultation → Inquiry | Design

Each workflow can include:

  • Service-specific emails
  • The right brochure or pricing guide
  • The correct questionnaire
  • A scheduler that matches that service

Every lead gets a tailored experience without you duplicating forms or manually sorting inquiries. Your systems stay organised, and clients feel instantly understood.

2. Identify Leads by Budget

Ask:

“Do you have a budget in mind?”

You might offer ranges like:

  • Under £2,000
  • £2,000–£5,000
  • £5,000+

Then use conditional logic to trigger different follow-ups:

  • Lower range → education-heavy nurture workflow
  • Higher range → consult booking link or premium positioning

You’re not rejecting anyone. You’re adjusting tone, pacing, and next steps based on alignment.

Why it works:

You jump on a discovery call with context, not assumptions and avoid awkward budget chats later.

3. Identify Where They Are in the Decision Process

Ask:

“Where are you in your process right now?”

Options like “just browsing” or “ready to book”.

Each answer can trigger a different workflow:

  • Just browsing → helpful resources + nurture emails
  • Ready to book → scheduler or proposal + contract

It means you’re not pushing people faster than they’re ready to move and stop under-serving the ones who are ready now. This is how your automation feels human instead of salesy.

4. Identify the Decision-Maker Early

Ask:

“Are you the main decision-maker for this project?”

If they select no, your workflow can:

  • Prompt them to add the decision-maker’s details
  • Trigger a follow-up asking who else needs to be involved

You avoid chasing approvals through the wrong person and reduce stalled conversations before they start. Massively underrated. Hugely effective.

5. Identify Location or Travel Requirements

Ask:

“Where will this take place?”

Based on the answer, you can:

  • Trigger a workflow that includes travel fees
  • Share availability limitations
  • Flag out-of-area inquiries automatically

Instead of manually explaining travel policies every time, it’s built into the experience.

It also sets expectations early, removes friction, and saves you from repetitive emails about logistics.

6. Identify Discovery Call OR Application

I recently worked with a copywriter who had everything manually set up and the main part she was getting stuck at was the “to discovery call or not to discovery call” this is the question a lot of business owner get stuck on.

So I entered in with – why don’t we give them the option?

By having a “workflow” option trigger that stats –

How would you like to move forward?

  • Schedule a discovery call to talk things through
  • Move straight into a custom proposal

This then allowed her to have two separate workflows based on this decision.

If they select “schedule a discovery call” → it starts with sending out a scheduler

If they select “Move straight into a custom proposal” → it sends out an application to find out more information so she can start the correct service workflow with a custom proposal.

Why Dubsado Conditional Logic Matters for Client Experience

Conditional logic isn’t just an automation party trick (although it’s pretty cool). It’s also a great way to stop your systems/communications feeling generic.

When it’s set up well in Dubsado, it quietly improves the experience on both sides.

  • Your forms feel intentional. Clients aren’t dumping information into a black hole. What they share actually shapes what happens next – which builds trust fast.
  • It filters and routes leads without feeling interrogative. You’re not asking 47 questions “just in case.” You’re asking a few smart ones and letting your workflows do the rest.
  • It keeps your workflows clean and efficient. Every inquiry lands in the right place, with the right tone, next step, and follow-up.

The result?

Your process feels calm, personalised, and professional, even when you’re not actively involved. And that’s the difference between having automation and actually using it to create a better client experience.

Ready to Make Your Forms Work Harder?

A great Dubsado Lead Capture Form isn’t just there to hoard information. It’s the start of your client experience.

And when conditional logic is set up properly, it:

  • Routes enquiries intelligently
  • Adjusts the journey based on where someone’s actually at
  • Creates a more personal experience for clients
  • Saves you from hours of manual admin and follow-ups

Meaning smarter forms. Better-aligned leads. And far fewer “ugh, I’ll fix this later” moments.
