Dubsado vs Honeybook 2025 Review

If you’ve made it to the “Dubsado vs HoneyBook” stage of business, you’re already doing better than most.

You’ve graduated from “winging it with a Google Doc and a prayer” to knowing you probably need a CRM (Client Relationship Management system). You just don’t want to pick the wrong one and spend the next six months crying into your coffee while manually onboarding clients at midnight.

Now, full disclosure: I do specialise in Dubsado setups. I’ve built, fixed, and finessed more Dubsado systems than I’ve had hot dinners. BUT (and this is important) I don’t believe Dubsado is the magic answer for everyone. Some businesses genuinely thrive in HoneyBook.

So if you’re looking for an honest, real-world breakdown that isn’t just me shouting “Dubsado is life!” from the rooftops, you’re in the right place.

In this blog, I’ll walk you through:

  • What both platforms actually do (and what they absolutely don’t)
  • The features that look great on paper but could trip you up IRL
  • What I wish more business owners knew before committing to either one

Let’s get into it…

Do You Actually Need a CRM Yet? (Spoiler: Probably Yes)

One of the things I hear all the time is: “I’m not ready for a CRM yet. I’ll look into one when I’m fully booked / launching something / hitting 10k months.”

But if you wait until you’ve hit those goals to get your systems in place, it’s probably already too late.

Because if you’re fully booked and enquiries are still rolling in (but your backend is chaos), all that growth is going to come with a side of stress and burnout.

Suddenly, leads are slipping through the cracks. You’re recycling the same half-finished contract from three clients ago. Your capacity hasn’t changed, you’ve just added more pressure.

A CRM isn’t some fancy tool you “earn” once your business hits a certain level. It’s what allows your business to grow without falling apart in the process. It’s how you scale, keep your client experience high, and get your evenings back.

What Does a CRM Actually Do for You?

A CRM takes all the messy, manual parts of your business and organises them under one roof.

It helps you:

  • Track and respond to new enquiries without relying on memory or email searches
  • Send branded proposals, contracts, and invoices without reinventing the wheel every time
  • Automate onboarding and offboarding so things don’t fall through the cracks
  • Stay on top of payments, project stages, and follow-ups
  • Deliver a client experience that’s polished and professional from first enquiry to final feedback

Whether you’re working with 2 clients or 20, a CRM gives you time back, and makes your business feel far more “together” than it probably does behind the scenes.

Why All-In-One CRMs Are the Move in 2025

A few years ago, most service providers were juggling 15 different tools and hoping Zapier didn’t break.

You’d use one thing for contracts, another for scheduling, another for invoices, a random Google Sheet to track progress… and maybe three different inboxes to talk to clients.

And sure, it worked. Kind of. Until you got busier.

Now? Expectations have shifted.

Clients want fast responses, polished documents, and a smooth journey that doesn’t feel like it was duct-taped together.

That’s why all-in-one CRMs are taking over. Platforms like Dubsado and HoneyBook bring everything (scheduling, invoicing, contracts, workflows, client portals) under one roof. Making your life and your clients so much easier.

Dubsado vs. HoneyBook at a Glance

If you’re short on time and want the TL;DR, here’s what you really need to know before picking a CRM.

✅ Integrates with Stripe, PayPal, and Square for payments

✅ Can manage multiple brands under one account

⚠️ Steeper learning curve – may need setup support

⚠️ Mobile app is basic (although it has improved with recent updates)

Getting Started: Which CRM Is Easier to Set Up?

HoneyBook is the easiest one to get going with – no question. It holds your hand the whole way through (from setup to sending your first proposal) with industry-specific templates and a super intuitive dashboard. You can genuinely sign up, hop on a free onboarding call with their team, and be up and running by the end of the day (even if tech usually makes your brain melt).

Dubsado, on the other hand, doesn’t hold your hand. It just drops the keys in your lap and says, “Go wild.” You can build exactly what you want, but you’ll need to know what that is first. So if your client process is a bit of a mess (no judgment), this can start to feel pretty overwhelming fast.

That said, Dubsado does have a brilliant Facebook community and a ton of tutorials. And if you’d rather not spend your evenings learning how to automate a follow-up email sequence, you can just pay someone like me to do it for you. I also offer plug-and-play Dubsado templates if you want the benefits of Dubsado without building from scratch.

Which CRM Has the Best Workflow Automations?

Both platforms have automations baked in, but the way they handle them? Totally different.

HoneyBook keeps things simple. You can set up basic actions, like sending an email when a form is submitted or reminding someone about an invoice. One trigger per automation. It works fine if your process is pretty straightforward, but it doesn’t take much for things to start feeling a bit… boxed in.

Dubsado, though, is where things get spicy. You can build full-blown workflows with multiple triggers, conditional logic, delays, task assignments – the works. Want to automatically send a form, update the project status, and assign a follow-up task all in one go? You can. It’s designed for control.

And a feature I really love: custom project statuses. You can track exactly where each client is in the pipeline (like “contract sent”, “awaiting payment”, “onboarding complete”) and filter everything based on that. Super handy when your brain’s juggling five launches and three retainer clients.

Quick breakdown:

  • HoneyBook
    • One trigger per automation
    • Works best for simple workflows
  • Dubsado
    • Advanced workflows with conditional logic
    • Ideal for multi-service offers and multi-step client journeys

If automation is a big part of how you run things, Dubsado is miles ahead – but only if you’re willing to spend a bit of time (or cash) getting it set up properly.

Project & Task Management: Can It Actually Keep You Organised?

Booking a client is one thing. Keeping everything moving after that? Whole other story.

If you’re hoping your CRM can double as your project HQ (managing tasks, timelines, and all the little to-dos), here’s the deal:

HoneyBook keeps it simple. You can set basic tasks and reminders, but there’s no proper dashboard or way to track progress across multiple clients. It’s enough to stay afloat… just don’t expect magic.

Dubsado gives you a bit more breathing room. You can build out task lists inside each project, link them to workflows, and assign due dates – so things don’t fall through the cracks. No, it’s not going to replace ClickUp, but if you want one place to see what’s happening with each client? It does the job.

And if you’re into systems (or just hate repeating yourself), Dubsado lets you save task templates, so your “onboarding to-do” doesn’t have to live in your brain.

What Do Your Clients Actually See? (And Why It Matters)

You’re not just picking a CRM to make your backend life easier, you’re picking the system your clients will interact with at every step. And let’s be honest, a bad client experience is the fastest way to look unprofessional (even if your actual service is top tier).

Let’s break it into two parts: what they see before they book, and what they get access to after.

Before They Book: Proposals, Contracts & First Impressions

This is where that “wow” factor really matters. Your proposals and booking process are often the very first touchpoint a client has with your brand beyond your website or socials, and they can either feel like a seamless extension of your business, or something you duct-taped together the night before.

HoneyBook gives you “Smart Files” – scrollable, mobile-friendly docs that combine proposals, contracts, and invoices all in one. They look clean and modern straight out of the box. But you’re working within a set design system, so while it’s quick and polished, it’s not exactly unique.

Dubsado, on the other hand, gives you full control over how things look and feel. Want your proposal to match your website? Easy. Want different flows for different offers? Done. You can even embed videos, images, or custom design elements. It’s that good.

After They Book: The Client Portal Experience

Once someone officially becomes a client, both HoneyBook and Dubsado offer a client portal. It’s an online space where clients can log in and view all their project info, such as contracts, invoices, appointments, resources, and more.

Here’s how their client portals stack up once your client’s logged in:

FeatureHoneyBookDubsado
Portal Branding❌ Can’t be customised – everyone sees the same layout✅ Fully brandable – add your logo, colours, welcome message, and more
Portal Access✅ Easy access link via email (auto-login)✅ Custom URL with branded login page
Client Can View✅ Projects, invoices, messages✅ Projects, forms, contracts, invoices, tasks, messages
Upload/Download Files❌ Not supported✅ Clients can upload/download documents within Forms

If you want your clients to feel like they’re being guided through a high-end, seamless experience, Dubsado delivers. It’s especially great for service providers who want to add that little extra “wow” without doing more manually.

Mobile Access: Can You Run It From Your Phone?

If you’re often working from your phone, this matters.

HoneyBook’s app is polished, reliable, and lets you manage most things on the go – from replying to inquiries to sending invoices. If mobile access is a deal-breaker, this one’s the winner.

Dubsado’s app is improving, but it’s still limited. You can check projects and send emails, but anything more complex will have you reaching for your laptop.

Payment Processing & Bank Setup

This part’s pretty straightforward – and, for some of you, it’ll make the decision for you.

HoneyBook uses its own built-in payment processor. It’s simple to set up and your clients can pay by credit card or bank transfer. But here’s the catch… you must have a US or Canadian bank account to use it. That means if you’re based in the UK (or anywhere else outside North America), HoneyBook isn’t even on the table.

Dubsado, on the other hand, lets you connect third-party payment gateways like Stripe, ACH payments, PayPal, and Square. You choose what works best for you, and you keep control of your payment processing. If you work with international clients, Dubsado also has the edge. You can invoice in different currencies (as supported by your payment processor), add taxes like VAT, and keep more control over how you accept payments. This is a big deal if your clients aren’t all paying in USD or if you want the flexibility to run your business from anywhere.

Pros & Cons: What It’s Really Like to Use Each Platform

Every platform looks shiny in the promo videos. But when you’re knee-deep in client onboarding or trying to fix a broken workflow at 11pm, the cracks show.

Here’s what I’ve seen both from my own experience and from the dozens of clients I’ve supported through CRM setups.

HoneyBook

Pros:

  • Quick to set up and easy to use, even if tech makes your brain melt
  • Smart Files keep everything tidy and visual for your clients
  • Mobile app is excellent – you can run your business on the go
  • Built-in payment processing keeps things simple if you’re in the US/Canada

Cons:

  • If you’re not in the US or Canada, you can’t use it – end of story
  • Automation is basic – great if your process is linear, frustrating if it’s not
  • Visual customisation is limited; you’re working within their design system
  • No PayPal support (Stripe only)

Dubsado

Pros:

  • Fully customisable workflows and automations — you can build exactly what you need
  • Total control over branding across emails, forms, and portals
  • Works internationally with multiple payment options (Stripe, PayPal, Square)
  • Can handle complex offers, multiple services, and different client types

Cons:

  • The setup process can feel overwhelming – especially if you don’t know your workflow inside out
  • Mobile app is limited – best used on desktop
  • Expect to spend time learning the system, or get help from someone who knows it inside out (hi 👋)

Platform Updates: Are These CRMs Still Improving?

Nobody wants to invest time, energy, or money into setting up a tool that’s already on the decline.

So what are Dubsado and HoneyBook going to stay as the two main heavyweight CRM contenders?

HoneyBook is definitely making moves. Their updates have been rolling out faster lately. Smart Files are getting smarter, the mobile app is solid, and they’re adding new features that make setup even smoother.

That said, a lot of what’s being added is playing catch-up. Great if you want something simple that keeps improving, but a lot of these updates are things that Dubsado already has.

Dubsado moves a bit slower, but when they do release something, it’s usually a proper game-changer. The recent scheduler update, better mobile tools, and more flexible workflows are proof they’re still in it for the long haul.

Where Does Each CRM Shine?

Still stuck? Here’s the straight-up breakdown of which platform is better depending on what you actually need:

Which CRM Should You Choose?

Choosing between Dubsado and HoneyBook isn’t about which platform is “better.” It’s about which one actually fits the way you run your business.

If your goal is to get something professional-looking up and running fast (with minimal setup and a clean client experience) HoneyBook is solid. It’s easy, intuitive, and does the basics really well. But if you’re not based in the US or Canada, it’s a non-starter. You’ll need a US bank account just to get paid, which rules it out completely for a lot of people.

If your goal is to build a client journey that’s smart, automated, and 100% tailored to your business, Dubsado is the clear winner. It takes more time to set up, but once it’s done, it works exactly how you want it to. You can run multiple services, personalise everything, and scale without constantly reworking your backend.

No system is perfect, but one of them is probably a lot closer to what your business needs right now.

If you land on Dubsado and decide you’d rather not set it all up from scratch (or you just want some plug-and-play templates to speed things up) you know where to find me 😉

Dubsado vs HoneyBook FAQs

Is HoneyBook good for contracts?

Yes, HoneyBook includes contract templates you can customise and send digitally. Clients can review and sign everything online, and it’s all stored neatly in your project dashboard. It’s simple, legal, and easy to use. But if you want full control over formatting, conditional logic, or multiple contract types in one workflow, Dubsado gives you more flexibility.

Is HoneyBook good for small businesses?

If you’re based in the US or Canada and want an easy-to-use system for managing bookings, contracts, and payments, HoneyBook is great for small businesses. It’s especially handy if you don’t need heavy customisation or automation. But if your business is growing, offers multiple services, or operates internationally, Dubsado might be a better long-term fit.

What is the difference between Dubsado and HoneyBook for interior designers?

Interior designers tend to have layered services, long timelines, and lots of client touchpoints. HoneyBook works well if your offers are fairly standard and you want something that looks polished quickly. But if you need to manage detailed proposals, revisions, or multi-phase projects with built-in automation, Dubsado’s flexibility is hard to beat.

Is Dubsado suitable for freelancers?

Absolutely, especially if you’re a freelancer offering services that involve onboarding, proposals, contracts, or multiple steps in your process. Dubsado can help you automate repetitive admin tasks, look more professional, and stay organised without needing to hire a VA. It’s particularly useful if you work with recurring clients, offer custom packages, or want to build a system that feels totally on-brand.

Who is Dubsado best for?

Dubsado is best for service-based business owners who want full control over their client experience – think VAs, OBMs, strategists, designers, and multi-service providers. If your offers are custom or your process has more than three steps, Dubsado gives you the tools to automate it properly.

What are the limitations of HoneyBook?

  • Only available in the US and Canada (you need a US-based bank account to get paid)
  • No PayPal support – payments go through their own processor
  • Limited customisation for branding and workflows
  • Basic automation only (one trigger per step)
