How To Use Multiple Payment Plans In Dubsado Proposals; Getting Paid In Dubsado

In this blog, I’ll unwrap the steps to setting up multiple payment plans in Dubsado proposals—a game-changer for both you and your clients.

Navigating the financial aspect of your business can often feel like a tightrope walk—balancing client convenience with your cash flow needs. It’s crucial to offer flexibility in how you get paid without complicating your processes.

Imagine giving your potential clients the freedom to select a payment option that best suits their budget. From paying in full for a sweet discount to a comfortable 50-50 split or even spreading the cost over three months, these choices could be the deciding factor in closing the deal.

What you’re going to need for this setup:

  1. Three separate packages for this package that you’re using in your proposal
  2. Three payment plans
    • 1) after contract signed
    • 2) either 1 month after the contract is signed or before / after project start date
    • 3) 1 month after the contract signed and 2 months after the contract signed
  3. Decide whether you are sending the proposal within a workflow or if you are sending the proposal manually

Here is a short overview of what this multiple payment plan setup will look like in your Dubsado proposal

Creating the packages in Dubsado for your multiple payment plans

So the first thing that we are going to do is to add our packages. Watch the full tutorial on how to setup your packages:

  1. Go to the template tab dropdown on the side bar and then select packages
  2. Add Package
  3. Create your first package which is going to be the PAY IN FULL
  4. Add a new name for your package and select ‘Add Line Item’
  5. Add your package description and add the FULL price of this package
  6. Add your category & tax then click “return to packages”
  7. Duplicate your PAY IN FULL package
  8. Add a new name (50/50) for your package and select ‘Add Line Item’
  9. Add your package description and add the price of what the 50% price would be (so if the full package is $1000 then this package price would be $500)
  10. Add your category & tax then click “return to packages”
  11. Duplicate your 50/50 package
  12. Add a new name (3 Month) for your package and select ‘Add Line Item’
  13. Add your package description and add the price of what the 34% price would be (so if the full package is $1000 then this package price would be $335 – I’ve added an additional fee for the convenience for the client splitting the payment)
  14. Add your category & tax

That’s it – your packages are now setup and we are ready for the next stage.

Creating the payment plans in Dubsado for your multiple payment plans

If you haven’t yet created your canned emails for your invoice reminders now is the time to get this setup.

You can copy and paste the below templates but please make sure to re-add the smart fields – sometimes when you copy over smart fields they don’t always pull through.

You can customise this to include your contract terms of when the invoice needs to be paid. Or add some urgency for them to pay i.e. a fee will be added if the invoice isn’t paid within ___ days.

Setting up additional invoice & payment plan after the contract signed and deposit is paid

The client has now paid the first payment, whether that be the pay in full, 50/50 or three month plan. If they have paid in full then really there is no action for you to take here. But if they have opted for 50/50 OR 3 Month Plan then we need to do a little bit of manual work – it’s about 1 minute of extra work for you as we have everything setup ready to apply.

Deciding if the payment plan will be attached to the proposal or the workflow

The payment plan you will be adding is the pay in full plan. Now you can choose whether you add a payment plan to the proposal (meaning the form is sent to the client from the forms tab) OR if you are adding the payment plan to the workflow (meaning you are sending the proposal in a workflow).

Personally I would always send a proposal in a workflow because it gives you the efficiency of automating the whole booking process. If you send the proposal manually from the forms tab it means that you would have to follow up manually, send out welcome emails maunally – argh no one has time to do all of these things that can be automated.
